Before you begin

Capture the product reference and the unanswered question. Draft a short reply that explains what information is still needed. Keep a visible record of the last contact so two people do not contact the same customer. Respect customer communication preferences and stop requests. Avoid invented urgency or claims about availability. Have a person approve offers and commitments before they are sent.

Write a useful second message

Consider a quotation that cannot be finished because the customer has not supplied quantities. A helpful follow-up restates the chosen product, asks for the quantity and explains why it is needed. It does not invent a discount or claim stock is running out. Keep the message short enough for the customer to answer directly. If there are several missing details, ask for the ones that change the quotation first.

Use one conversation record

Record the last message, channel, owner and agreed next contact. When a customer replies by telephone after an email, update the same record. Otherwise an automated reminder may ask for information already received. Test this scenario before starting a sequence. Stop the sequence when a person takes over or the customer asks for no further contact. A reminder should support the conversation, not compete with it.

Review relevance over frequency

Check a sample of follow-ups for accuracy and usefulness. Were they tied to the actual enquiry? Did they make the next step clear? Did the team honour customer preferences?
